Importing Data

This page captures the myosh admin guidance for importing module data with Excel templates.

General Importing Principles

Importing module data is an admin task completed by a system administrator. An admin access level is required in order to import records into a module.

The import process uses an Excel template and can optionally include existing records so that they can be updated. Each record must be entered on a separate row, the template layout must not be changed, and the maximum import size is 6000 records.

Once external data is imported into the relevant myosh module, it can be used for reporting and analysis in the platform.

Steps to Import Data

1. Open the module you want to import into and select Import.
2. Download the template.
3. If prompted, choose whether existing records should be included in the template.
4. Enter one record per row.
5. Do not modify the template layout or format.
6. Complete all mandatory fields marked with an asterisk.
7. Use spreadsheet dropdowns for values that already exist in myosh where available.
8. Use True for yes and False for no.
9. For new records, leave the Record ID column blank.
10. Save the template and close Excel.
11. Select Next to move to the notifications step.
12. Choose whether Send Record Notifications should be enabled.
13. Select Next to move to settings.
14. Choose whether to ignore missing values and validation failures.
15. Select Next to move to upload.
16. Upload the completed import file.
17. Review the summary, including any row and field errors.
18. Select Finish.

Important Notes

• The template can include existing records if you want to update them.
• The maximum number of records per import is 6000.
• Invalid hierarchy values or field values can cause rows to be rejected.
• If Ignore Missing Values or Validation Failures is enabled, the import may succeed even where some values are incomplete or incorrect.
• Dashboard data can be affected if import errors relate to hierarchy values or fields used in filters.

Person Select Fields

Some templates may include columns for PERSONFIELD sub-fields such as manager or occupation. These fields can appear in the export, but myosh ignores values entered into those sub-field columns during import and instead uses the current values from the live user record.
